Preparation for Data Transformation in Payroll Implementation

This phase is crucial in any HCM/Payroll implementation. Incorrect data from the legacy system can lead to miscalculations. Your team must collaborate closely with the SI to prepare a detailed data transformation document. Here are the key points to consider: 

  1. Determine the historical data to migrate, aligning with legislative requirements. 
  1. Migrate the full data set each time, identifying and rectifying errors in subsequent stages. 
  1. Conduct data reconciliation after each migration stage to address any inaccuracies. 
  1. Understand and set appropriate payroll cutoff dates for data migration. 

At the same time use the pre-stage to do a housekeeping exercise on elements and reports you no longer need. Also housekeeping on your data quality ready for DM.

Training and User Testing

This stage provides hands-on sessions for all team members to prepare for the future. Key users, involved since the program’s inception, must lead, and clarify the build to their teams. Before user acceptance testing, get your teams to start recording the unusual scenarios for payroll testing check what your team is doing in your current system (sometimes this has some surprises), and establish these rules: 

  1. Define entry and exit criteria (It also might be worth mentioning to be careful if Entry and Exit gates are not set and adhered to, as you are just moving the issues into a later stage which will possibly cause a gridlock at a more critical stage in the project) 
  1. Set the testing cycle, e.g., Monday to Thursday for testing and Friday for bug fixes. 
  1. Avoid parking too many issues to post-go-live. 
  1. Ensure no open P1 issues exist during UAT to prevent potential go-live complications.
