Introduction

Areas of Responsibility templates allows us to create a simple, less-cluttered responsibility description and scope just once, and reuse it multiple times. Templates can be defined independently from representatives, and can support different scope patterns as your organization requires. With a responsibility template, one can control and minimize the number of responsibility visible scope items displayed on a worker’s responsibility without Page Composer configuration.  So, we need to choose only the scope that applies to the organization. Templates also automatically populate values on the worker responsibility. One can also specify required values for the worker responsibility.

One can access the “Areas of Responsibility Template” from below navigation:

Navigation: My Client Groups->Quick Actions -> Show More ->Workforce Structure-> Areas of Responsibility Template

 

One can add a responsibility in either of these two ways: directly from the Areas of Responsibility (AOR) UI or from a template. A new option, Responsibility from Template is added to the Areas of Responsibility UI. One can now create Areas of Responsibility templates to quickly create and assign responsibilities.

 

Creating a New Areas of Responsibility Template

If we are adding a responsibility from a template the basic information and scope are automatically populated from the template. However, one can change the name, from and to dates, and status. One can also change any of the scope-related fields, which are optional in the template. There must be at least one scope attribute with a value, else an error message is displayed. You can easily identify the correct department, job, grade, and location because the Set is now included in these LOVs.

We would try to create a new “Areas of Responsibility Template



We would need to populate the following details

We have only used one attribute for the sake of simplicity but we can always use a more complex combination involving multiple attributes.

Choose and select all persons whom you would like to assign the Areas of Responsibility

 

 

Verification

Now we can navigate to the person record of any of the selected person from the list above and check whether the Areas of Responsibility is assigned.

Navigation: My Client Groups->Person Management->(Search for Person) -> Areas of Responsibility

We can even verify that the “Areas of Responsibility” has been correctly assigned by navigating to “Areas of Responsibility” via Quick Actions. 

 

Navigation: My Client Groups->Quick Actions (Show More) ->Employment (Areas of Responsibility) 

And once we click on the link a new page would open where we would need to provide the person number (Jennifer Langley for this example) and we would be able to see the AOR assigned as shown: 



Summary

So, this is how we can use a standard template to define scope of Areas of Responsibility and assign the same to different employees. This gives us a smooth, simple way of defining new Areas of Responsibility. This also gives an improved user experience. A template-based approach is always favored as we can define a template once and use it multiple times.
